Introduction

The Hive Change Consultancy Ltd. is committed to ensuring that any personal data we hold about you is protected in accordance with data protection laws and is used in line with your expectations. What personal data do we collect?

We collect personal data about you to provide coaching and training that is tailored to meet your individual needs and/or the needs of your business. 

Personal details that we might collect about you:

  • Business address
  • Email address
  • Telephone number
  • Sensitive personal information relevant to the training/coaching

This information will be collected from you directly by our website form or by our sales team. 

Why we collect and use this information

We use personal data about you in order to provide coaching or training services and fulfil any contractual arrangement entered into. 

This includes using your data to:

  • Contact you in case of an emergency.
  • To support the contracted activities.
  • To manage any specific needs of your team or employees.
  • To gain answers to any pertinent questions we may have directly related to the contracted activity. 
  • To carry out regular assessment of our progress and to identify any areas of concern.
  • To maintain contact with you about our progress and respond to any questions you may have.
  • To keep you updated with information about our service.
  • To assess the quality of our services.
  • To comply with the law regarding data sharing.

With your consent, we may also:

  • Record meetings and training/coaching sessions for internal reference and use only.
  • Transcribe meetings and training/consultancy sessions for internal reference and use only.

    Whilst the following list is not intended to be exhaustive, The Hive typically only transfers the personal data relating to our customers, where required for the activities set out below, to the following third parties or Data Processors:

    • Hubspot Inc 
    • Microsoft Ltd
    • Dropbox Inc 


    And for website visitors for the purpose of website performance, marketing performance, marketing communications and advertising targeting:

    • Google Analytics

      The Hive will update this list from time to time as our systems and operations evolve and inform you accordingly.


      By interacting with The Hive as defined in this policy, you provide your consent for this transfer and use of our Data Processors and their Data Sub-Processors, and for transfer to any other appropriate third-party Data Processor for the purposes of delivery of the Services and customer relationship management activities. No data transfer will be undertaken that is outside of the strict scope of the purposes stated in this policy, or that will materially degrade the security of your data or your rights.


      The Data Processors and Sub Processors we use will be contractually bound to process only in accordance with our instructions and to maintain technical and organisational controls in compliance with our security policy and the requirements of the GDPR.


      Commitment to confidentiality and security of processing:

      The Hive will use appropriate technical and organisational security measures within our sphere of responsibility to ensure an appropriate level of confidentiality, integrity and, where The Hive is the Data Controller, availability of your data and to ensure its availability in the event of a business continuity incident.


      The Hive will undertake security and data protection assessments of any third parties we elect to use prior to transfer of any Customer Data and regularly thereafter.

Terms & Conditions

Terms: 

These recordings and transcripts will only be shared as part of the consultancy/training process and for the sole purpose of ensuring consistent and overarching understanding across the Hive’s organisation in order to carry out the best possible results from the contracted activities.

Rights:

You will have the opportunity to withdraw your consent at any time, for recordings or transcripts taken by confirming so in writing.

We have a legal obligation to process safeguarding related data about your employees should we have concerns about their welfare.

The lawful basis on which we use this information:

We collect and use client and employee information for the purposes of a contract.

We may request this information from you via several different methods:

  • The Hive client booking form.
  • Direct email.
  • In person
  • Via phone conversation.

How long do we retain your data?

Your personal data will be retained for a two year period after your contracted activity agreement expires.

We will not share your details with any external bodies.

How do we protect your data?

We protect unauthorised access to your personal data and prevent it from being lost, accidentally destroyed, misused, or disclosed by keeping it in our password protected documentation. We will never share your data with any other organisation to use for their own purposes.

Requesting access to your personal data

Request access, amend or correct your personal data.

Request that we delete or stop processing your personal data, for example where the data is no longer necessary for the purposes of contracted activities.

We keep this notice under regular review. You will be notified of any changes where appropriate.
